Volunteer Job Title: Operations Support Specialist (Hybrid)

Location: Wake and Durham Counties, NC (Hybrid: Remote & In-Person)
Position Type: Part-Time Volunteer (Flexible Hours)

 

 

Position Overview

We are seeking detail-oriented, organized volunteers to join our operational backbone. This hybrid role ensures our internal infrastructure, technology, finances, and human resources run flawlessly. You will handle administrative and tech-driven tasks remotely, while assisting with physical inventory, reception, and facilities on-site in Wake and Durham counties.

 

 

Key Responsibilities & Tasks

 

Remote Tasks (Digital & Administrative Operations)

  • Data & Systems Management: Input stakeholder records into the CRM, clean up duplicate data, and build weekly reports as a Database Administrator & Data Entry Specialist.

  • Tech Support: Help staff troubleshoot software issues and manage internal cloud storage organization as an IT Support Specialist.

  • HR & Scheduling: Manage the volunteer pipeline, lead digital orientations, and build weekly shift calendars as a Volunteer Onboarding Coordinator & Shift Scheduler.

  • Finance & Compliance: Assist with digital bookkeeping, categorize monthly expense receipts, and audit documentation for grant compliance as a Finance Assistant & Compliance Auditor.

 

In-Person Tasks (Wake & Durham County Sites)

  • Front Desk & Intake: Greet visitors, answer phone calls, and route community members to the correct department as an Intake & Reception Coordinator.

  • Office & Facility Maintenance: Keep workspaces organized, handle physical inventory checklists, and coordinate with repair vendors as an Office Logistics Assistant & Facility Maintenance Volunteer.

  • Supply Chain Logistics: Receive, log, sort, and organize non-monetary assets and physical goods (e.g., equipment, supply drives) as an In-Kind Donations & Supply Chain Coordinator.

 

 

Required Skills & Qualifications

  • Proficiency with basic software (e.g., Microsoft Office, Google Workspace, or CRM databases).

  • Strong organizational skills and sharp attention to detail.

  • Excellent communication skills for both digital collaboration and in-person reception.

  • Reliable transportation to travel to site locations in Wake or Durham county for in-person shifts.

  • Ability to handle sensitive operational and financial data with strict confidentiality.

 

 

Time Commitment

  • Hours: Part-time only (approximately 5 to 10 hours per week).

  • Schedule: Highly flexible. Remote tasks can be completed on your own schedule, while in-person shifts will be scheduled in advance during standard business hours.

  • Minimum Term: A 3-month commitment is preferred to ensure continuity in our operations.

The Challenge

The Family Business Foundation delivers critical programs across Wake and Durham counties, yet our capacity to expand is restricted by growing operational bottlenecks. While demand for our community services continues to rise, our administrative, technical, and logistical infrastructure is stretched thin. Our small staff spends an increasing number of hours managing data entry, updating shift schedules, organizing physical inventory, and processing expense tracking. This diversion of time from strategic oversight to day-to-day office management creates workflow delays and limits our overall efficiency.

The Opportunity

To sustain our growth and maintain a high standard of service delivery, we must fortify our internal framework. By recruiting dedicated, skilled operational volunteers, we can streamline our "back-office" engines. Remote volunteers handling database cleaning, financial logging, and onboarding will secure our digital operations. Simultaneously, on-site operational volunteers will manage front-desk reception, logistics, and facilities in our local communities.
